Purpose of this Notice

The Utah Division of Oil, Gas and Mining (OGM) is committed to protecting your privacy. This notice explains our general privacy practices and how we handle your personal data. We may provide more specific notices on forms or other webpages where we collect your data.

What We Collect and Why

We collect personal data only as permitted by law and to fulfill our core mission of managing Utah’s natural resources. We may collect information from you when you visit our website, apply for a permit, or interact with us. If voluntarily provided, personal data is used to contact individuals regarding customer experience and feedback. Depending on the service you are utilizing at OGM, this information may include:

  • Names and Contact Information: First and last names, mailing addresses, email addresses, and phone numbers.
  • Bonding and Financial Assurance Information: Information submitted to demonstrate compliance with bonding requirements. This includes surety bond details, letters of credit, certificates of deposit, financial institution information, bond amounts, and authorized signatory information.
  • Identification Numbers: Driver’s license numbers, account numbers, or other unique identifiers.
  • Financial Information: Credit/debit card numbers for payments and transaction histories.
  • License Information: Details related to applications or permits for hunting, fishing, or state parks.
  • Employment Information: Data related to job or volunteer applications.

Public Records Disclosure

Certain information submitted to OGM is classified as a public record under Utah law and may be released in response to public records requests. While we work to protect private and protected information, data submitted through public comment periods, permit applications, or other official interactions may be subject to disclosure under the Government Records Access and Management Act (GRAMA).

Website Tracking Data

We use tracking technology to improve your experience and to help us understand how people use our site. 

Google Analytics 4 (GA4) is used to analyze website traffic, troubleshoot technical issues, and enhance our service. GA4 does not collect personally identifiable information (PII). You control the data your browser shares through your browser privacy settings and Google Account's “Data & Privacy” settings. Analytics data is handled in accordance with record series 30837.

Website visitors may choose to share survey feedback in short (even one-question) surveys as part of the Customer Experience initiative. When you choose to respond, the information you submit is recorded with select browsing information, including, for example, the page you were on, the pages you had visited before submitting, and the browser and device you were using. Non-PII data is handled in accordance with record series 30837.

Some customers choose to submit personal information when requesting support through a survey. Any personally identifiable information collected in this form or survey is handled per record series 30838

Public Comments

We use Google Forms to collect official public comments, feedback, and other information from our visitors. When you submit a form, we collect the personal information you choose to provide, such as your name, contact information, and the content of your message.

*Because public comments are part of the official record, please do not include sensitive personal information (like your Social Security number or private medical info) in your submission.

By submitting a Google Form, you acknowledge that your information will be transferred to Google for processing in accordance with their Privacy Policy. Please be aware that information submitted as part of a public process—such as rulemaking or board hearings— becomes part of the official public record. This information is handled and retained in accordance with Utah state record retention requirements and applicable law.

Cookies and Embedded Content

Our website provides access to an official files database via an embedded frame (iframe). To use the search functions and view files within this database, your browser must be configured to allow third-party cookies.

  • Why these cookies are used: These cookies are strictly functional. They allow the database to "remember" your search session and ensure that the documents you request are delivered to your browser correctly.
  • Privacy: These cookies do not track your activity on other websites and are used solely to facilitate your interaction with our records database.
  • User Control: If you have disabled third-party cookies in your browser settings, the database search tool may not appear or function correctly. You can manage your cookie preferences through your browser’s security settings.

Protection of Personal Data

We work hard to protect your personal data through technical and administrative safeguards. Our employees are trained on privacy and security policies, and we require our service providers to protect your data. If a data breach occurs, we will notify you as required by law. 

We do not sell or purchase personal data.

Sharing Personal Data

We only share personal data when allowed by law. We may share data with other government agencies or service providers. We may also share data if legally required.
