This page provides information about the various EDI
Warnings and Errors encountered during EDI data processing. It's purpose
is to assist coal operators in determining the nature of EDI data
errors and warnings and to enable online data verification and correction prior
to updating the Water Quality Database.
The main EDI web page for data uploading and processing is

- SAMPLE WARNINGS
- Lab is Currently not Active
- The Lab is Currently not Active message indicates that the lab is not
currently active in the database or doesn't exist. If you have
recently begun using a new lab it could be that the lab has not been set
up in the database. Send an email to Dana
Dean, providing your new lab name. New labs can be set up
quickly and will avoid future warnings of this type.

- The Lab Code is a three letter code that is
used by the APPX database to identify the lab.

- Notes: When a laboratory analysis is
performed on a given sample, use the appropriate lab code for all
parameters in that sample, including any field parameters that were
measured. Click here for a listing of current labs.

- If the data is for field measurements only and no
laboratory analysis was performed, then the lab code should be set to FLD
(Field Readings Only).
-
- If the site was inaccessible, then the lab code should
be set to NOA (No Access) as there would be no other data reported
for the site.
-
- If the site was accessible but there was no flow, then
the lab code should be set to NOF (No Flow) as no further analytical
data would be reported.

- Sampler's
name has been left Blank
- Sampler's name has been left blank indicates just that,
the person collecting the sample was not identified with the sample
data. Sampler's name can be obtained from field notes and input into
the appropriate entry on the web site EDI correction.

- SAMPLE ERRORS
-
- Date Received is Blank
- This error results when the date that the lab received the sample for
analysis was not entered. Usually this information can be obtained
from the lab sheet of sample results. Enter
the date the sample was received by the laboratory in the MONTH (MM), DAY
(DD), and YEAR (YYYY) format. (MM/DD/YYYY)

- Date Received is not a Valid Date
- This error indicates that the date that the lab received the sample for
analysis was not entered in the appropriate format. Dates should be
entered in the MM/DD/YYYY format. Check your date
to insure it follows this format.

- Date Reported is Blank
- The lab report date was left blank. This information can be obtained
from the lab sheet of sample results. Enter
the date the sample results were reported by the laboratory in the Month,
Day, Year format: (MM/DD/YYYY)

- Date Reported is not a Valid Date
- This error indicates that the date that the lab reported the sample
results was not entered. This information can be obtained
from the lab sheet. Enter
the sample report date in the Month, Day, Year format: (MM/DD/YYYY)

- If Lab is NOF, then only Parameter 11 (Flow = 0)
- When the monitoring site is dry, (No Flow), the only parameter allowed
in the sample results is flow parameter #11 with a value of Zero. No
other parameters should exist.

- If Lab is
NOA, No Access, then No
Parameters
- When the monitoring site is not accessible, (No Access), no parameters
are allowed.

- Lab-ID, Lab Code Already on File
- This Quality Control error looks in the database for existing lab
analysis sheets with the same lab ID and Code. This indicates that
the results may already exist in the database and prevents duplication and
overwriting of data. Check the lab number on the results sheet to
insure it was entered correctly. If the problem persists and cannot
be corrected, please contact Dana Dean,
(801) 538-5320 providing the name of the lab, the lab number along
with the mine and site being sampled.

- Laboratory is not Valid
- This error indicates that the lab ID being submitted is not a valid
ID. Check to make sure you are using the appropriate lab CODE for
your lab. Below is a list of the labs used in the database. If
you have recently begun using a lab that is not listed here, please
contact Dana Dean, (801) 538-5320 with the lab information so that it may be added to the system.

- Although NOF, NOA, DMR, and FLD are not true laboratories, these codes
are used to describe specific sampling condition as listed below:
- NOF: NO FLOW
- NOA: NO ACCESS
- DMR: UPDES Discharge Monitoring Report data
- FLD: Field Data Only: Not associated with sample data (FLD).

- Date Received is After Date Reported by Lab
- This error results when the date that the lab received the sample for
analysis was entered but the date is later than the date the lab reported
the results. Usually this occurs due to an error in data entry, (IE:
wrong year or month entered). Check the lab received date on the lab sheet.
Enter
the date the sample was received by the laboratory in the MONTH (MM), DAY
(DD), and YEAR (YYYY) format. (MM/DD/YYYY)

- Mine ID is not Valid
- This error indicates that the mine ID being submitted is not a valid
ID. Check to make sure you are using the appropriate mine ID for
your mine. Your user ID and password are associated with your
specific mines. If you submit a mine ID that is not associated with
your mine, you will get this error message. The Mine ID is a three
digit numeric code. Below is a list of mine IDs used in the
database.

- Mine/Site/Date/Time/Sample Type Already Exists
- This Quality Control prevents duplication of sample data. The
program looks in the database for existing sampling occurrences where the
Mine, Site, Date, Time and Sample already exist. If this error
appears it indicates that the sample results may already exist in the
database and prevents duplication and overwriting of data. Check the
information closely to identify that it was entered correctly. If
the problem persists and cannot be corrected, please contact Dana
Dean, (801) 538-5320 providing the name of the Mine, the Site, the
Date & Time.

- Sample Date is After Date Reported by Lab
- This error results when the sample date entered is later than the Date
Reported by lab. This usually occurs due to a data entry error, (IE:
wrong year or month entered). Check the Sample Date and the Lab
Report Date to insure they were entered correctly. Enter
the date the sample was collected in the MONTH (MM), DAY (DD), and
YEAR (YYYY) format. (MM/DD/YYYY)

- Sample Date is After Date Received by Lab
- This error results when the sample date entered is later than the Date
Received by the lab. This error usually occurs due to a data entry
error, (IE: wrong year or month entered). Check the Sample Date and
the Lab Received Date to insure they were entered correctly. Enter
the date the sample was collected in the MONTH (MM), DAY (DD), and
YEAR (YYYY) format. (MM/DD/YYYY)

- Sample Date is Blank
- The Sample Date was left blank. Sample collection information can be obtained
from the samplers field notes, or the lab sheet. Enter
the Sample Date in the Month, Day, Year format: (MM/DD/YYYY)

- Sample Date is not a Valid Date
- This error indicates that the Sample Date entered is invalid. This
usually occurs due to a date entry error. Check the sample
collection date and correct as necessary. Enter
the Sample Date in the Month, Day, Year format: (MM/DD/YYYY)

- Sample Time is Blank
- The Sample Time was left blank. This information can be obtained
from the samplers field notes, or the lab sheet. Enter
the time the sample was collected in the Hour (HH) Minute (MM) format: (HH:MM)

- Sample Time is not a Valid Time
- This error indicates that the Sample Time was not entered in the
appropriate format. All times should be in 24 hour military time
using the Hour (HH) Minute (MM) format: (HH:MM)
Check your Time to insure it follows this format.

- Sample Type is not Valid
- This error indicates that the Sample Type is not a valid. Check to
make sure you are using the appropriate sample type. The following
sample types are allowed in the database.

- Site ID is not Valid for Mine
- This error indicates that the Site ID being submitted is not valid for
the mine you are working on. Check to make sure you are using the
appropriate mine ID number (See Above) and
site ID for your data. Your user ID and password are associated with
your specific mine and monitoring sites. If you submit a site ID that is not
associated with your mine, you will get this error message. The Mine
ID and Site ID are three digit numeric code. Contact Dana
Dean, (801) 538-5320 if you need help or a current listing of sites
associated with your mine.

- PARAMETER WARNINGS
- Analysts Name is left Blank
- The analysts name or initials were left blank. This information can be obtained
from the lab sheet. Enter
the analyst's initials or name in this space.

- Standard Deviation is Greater than 2, Verify
Value
- The value being submitted exceeds 2 standard deviations of the existing
data for this site. This program calculates the Standard
Deviation using existing data at this site and compares the incoming data
value with 2 Standard Deviations for the specific site. Any
parameter value exceeding 2 Standard Deviations will be flagged
here. The intent of this check is to identify and verify data
approaching the existing range of data for this site. Verify the
value is correct and click on the OK box. If the value is incorrect,
make appropriate corrections and submit the data.

- Value
of Zero must be Verified as Valid
- The value being submitted for this parameter is zero. This program
does not allow zeroes except in NO Flow situations. Sometimes Water
Temperature will be zero (0). In cases where the actual value is
zero, click the OK box and submit, otherwise make the appropriate
correction.

- Value is Equal to MDL - Should it be
less than ?
- The value being submitted for this parameter is equal to the MDL (Method
Detection Limit) for this parameter. The program does not allow
values less than or equal to the MDL without the equality indicator being
set to "<". If the value is less than the MDL
then insert a "<" (less than) symbol in the equality
indicator box and submit. If the value is correct and no
"<" symbol is required, click the OK box and submit.
The intent is to verify values at or below the MDL.

- PARAMETER ERRORS
-
- Equality Indicator is not
<, >, or blank
- The value being submitted for this parameter is equal to the MDL (Method
Detection Limit). The program does not allow values less than or
equal to the MDL without the equality indicator being set to
"<". If the value is less than the MDL, insert a
"<" (less than) symbol in the equality indicator box
and submit. If the value is correct and no "<" symbol
is required, click the OK box and submit. The intent is to verify
values at the MDL.

- If Equality Indicator is
<, Value cannot exceed MDL
- The value being submitted for this parameter is greater than the MDL
(Method Detection Limit) and the equality Indicator is set to
"<". The program does not allow values greater than the
MDL with the equality indicator set to "<". If
the value is greater than the MDL, then no "<" (less
than) symbol is required. Remove the "<" symbol from
the Equality Indicator box and submit.

- MDL is not numeric
- The value being submitted for this parameter is not numeric. The
system allows numeric values up to 6 digits on each side of the
decimal. Check to see that your value does not contain any commas,
quotes, or other non-numeric characters. Make appropriate changes
and submit.

- Method ID is not Valid
- The "Method ID is not Valid" error indicates that the method
ID submitted is not registered in the database or the method ID is not
associated with the specific parameter you are using. The
Method ID is a 10 character alpha-numeric field. Click here
for a list of all methods and associated parameters. Check your data
to insure that the correct Method ID is associated with the correct
parameters. NOTE: These are case sensitive and the text must conform
to the short method spelling. The EDI web site only allows selection
of methods associated with a specific parameter. If you have a
method that is not listed on the EDI web site, please contact Dana
Dean, (801) 538-5320 for assistance setting up the new
methods.

- Date Analyzed is Before Date Received
- This error results when the Date Analyzed is before the Date Received by
lab. This usually occurs due to a data entry error, (IE: wrong year
or month entered). This information can be found on the lab
sheets. Check the Date Analyzed and the Date Received to insure they
were entered correctly. Enter
the date the parameter was analyzed by the lab in the MONTH (MM), DAY
(DD), and YEAR (YYYY) format. (MM/DD/YYYY)

- Date Analyzed is Before Date Sampled
- This error results when the Date Analyzed is before the Sample
Date. This usually occurs due to data entry errors, (IE: wrong year
or month entered). Check the Date Analyzed and the Sample Date to
insure they were both entered correctly. Enter
the Date Analyzed in the MONTH (MM), DAY (DD), and YEAR (YYYY)
format. (MM/DD/YYYY)

- Date Analyzed is After Date Reported
- This error results when the Date Analyzed is after the Date Reported by
lab. This usually occurs due to data entry errors, (IE: wrong year
or month entered). Check the Analytical Date and the Date Reported
to insure they were both entered correctly. Correct as necessary.

the Date Analyzed in the MONTH (MM), DAY (DD), and YEAR (YYYY)
format. (MM/DD/YYYY)

- Date Analyzed is not a Valid Date
- This error occurs when the Date Analyzed is not valid. This can be
caused the date being in a format other than the
Month, Day, Year format; MM/DD/YYYY. Non-numeric characters
can also cause this error. Check your lab results sheet to verify
the Analytical Date and make appropriate corrections. All dates
should be entered in the in the MONTH (MM), DAY (DD),
and YEAR (YYYY) format. (MM/DD/YYYY).

- Method ID is not Valid for Parameter
- The "Method ID is not Valid for Parameter" error indicates
that the method ID submitted is not registered in the database or the
method ID is not associated with the specific parameter you are
using. The Method ID is a 10 character alpha-numeric
field. Click here
for a list of all parameters and associated Method IDs. Check your
data to insure that the correct Method ID is associated with the correct
parameters. NOTE: These are case sensitive and the method must
conform to the short method spelling. The EDI web site only allows
selection of methods associated with specific
parameters.

- Parameter ID is not Valid
- The "Parameter is not Valid" error indicates that the
parameter number submitted is not registered in the database or the wrong
number was submitted. The parameter ID is a numeric three
digit field. Click here
for a list of all parameters and associated parameter ID numbers.
Check your data to insure that the correct parameter ID number is
associated with the correct parameter values.

- Parameter Value cannot be less than the MDL
- The value being submitted for this parameter is less than the MDL
(Method Detection Limit). The program does not allow values less
than the MDL. If the analytical value is less than the MDL, then the
Equality Indicator should be set to "<" (Less
Than). Verify the parameter value on your lab results
sheet. If the value is below detection, insert a "<"
(less than) symbol in the equality indicator box, set the parameter
value to the MDL and submit.

- Time Analyzed is not a Valid Time
- This error indicates that the Time Analyzed was not entered in the
appropriate format. All times should be in 24 hour military time
using the Hour (HH) Minute (MM) format: (HH:MM)
Check your Time Analyzed on the lab results sheet to verify the time and
insure it follows this format. Make appropriate corrections and
submit.

- Unit of Measure is not Valid for Parameter
- This message indicates that the unit of measure submitted with a
parameter value is not valid for that parameter. Each parameter has
a standard unit of measure associated with it. Alternate units can
also be set up in the database (IE: mg/l and ug/l). In most cases,
parameters have at least one alternate unit of measure. The EDI web
site only allows selection of units of measure associated with a specific
parameter. This greatly reduces errors of this nature.
On the EDI web site, select the units of measure which your data is
reported in by the lab and submit.

- Unit of Measure is not Valid
- This message indicates that the unit of measure is not valid. Each
parameter has a standard unit of measure associated with it.
The EDI web site only allows selection of units of measure associated with
a specific parameter. This greatly reduces errors of this
nature. If you have a Unit of measure which is not listed on
the EDI web site, please contact Dana
Dean, (801) 538-5320 for assistance setting up the new unit.

- Value is too Large to Work with (numbers cannot exceed 6 digits)
- This error occurs when the value submitted exceeds
999,999.999999. Six digits on each
side of the decimal point are allowed. In cases where this is exceeded, the units may be converted
to a larger unit thus reducing the number of digits. (IE 12,345,432.1 ug/l
= 12,345.4321 mg/l)

- Value is not Numeric
- This error occurs when a value is expected to be numeric and is
not. This could be due to data entry errors where an alpha character
is erroneously input. Check your data or values to insure it doesn't
have commas, quotes or other alpha characters. Correct as necessary
and submit to update.
